Changes to Simple Appointments for Version 2.0

Simple Appointments 2.0 aims to be even more straightforward and easy to use than the original!

Payment System

The process of making payments has been simplified by providing different pages for entering payments and refunds, editing a payment, and voiding a payment. The look of the payments table has also been updated, so that you can easily differentiate enrollments, miscellaneous payments, and unit payments. Enrollments

Enrollments now have 2 additional fields: “Section” and “Front/Back”. These allow the user more direct control over where the enrollment is listed on the franchise reports. For more information see Entering an Enrollment or View Franchise Reports. The field that used to be called “Department” is now called “Level”. It has one additional option, which is a 30 minute, 1 unit Sample Lesson.

Help System

The help system that you are currently using was created to allow easy access to help with the Simple Appointments program. Links to appropriate help articles have been added throughout the program.

Translation

You are now able to translate Simple Appointments into the language of your choice. Each user can have a different language set to view the program in. For more information, see Translating Simple Appointments.

YTD and PYTD Values

Simple Appointments can now calculate Year to Date (YTD) and Previous Year to Date (PYTD) values on the Summary of Studio Business Report for you. These options must be enabled in the program configuration, and Simple Appointments must have the data from the beginning of the year. You can enter the information manually if your studio has not been using Simple Appointments for that long.

To facilitate the calculation of YTD and PYTD values, a change has been made to the franchise reports page. When you select a report that you want to view, you have the option to View or Generate. There is no difference between these options for the Staff Performance Report or Weekly Royalty Report. For the Summary of Studio Business report, however, there is an important distinction. Clicking Generate will fill in the values of the report by looking at appointment, payment, and enrollment data in the system. Clicking View will display the report using the values calculated the last time Generate was used (except if the report has never been generated, in which case View will generate it). You should never Generate a report after the report has been printed and sent to AMI. This ensures that your YTD and PYTD values will match the documents AMI has. Group and Party Tracking

If these options are enabled in the program configuration, you will see new fields when entering a new enrollment: “Group Credits” and “Party Credits”.

With tracking enabled, you can give a student a certain number of group or party credits with each enrollment they make. As they attend parties and group lessons, the program will keep a countdown of the number of remaining credits the same way it does for units.

If party tracking is enabled, an additional “Supplementary Practice” box will appear on the Summary of Studio Business report. This will give the total attendance of all parties for the week.

Quick Verification

Unverified lessons (displayed in yellow) will now have a checkmark icon on them. Clicking the checkmark will verify the lesson at the current date and time. If it is a group lesson or party, you will be asked to list the students who attended.

Taxes

In the program configuration, you can now specify one or two taxes which are applied to sales. The taxes will be automatically calculated from the value of the payments for enrollments. Miscellaneous payments will allow you to enter the tax amounts manually.

Taxes will not be counted in franchise report fields, but the weekly and YTD taxes will be displayed at the top of the Summary of Studio Business report.

Loans

Support has been added for third party loans given to students. Enabling 3rd party loans in the program configuration will allow you to separately track payments made on the enrollment by the loan company, and payments made on the enrollment by the student to the loan company. An additional field called “Loan Fees” will appear on any enrollment with financing. If the field is filled in (even with an amount of 0), the enrollment will be treated as a loan.

Editing Enrollments

You can now edit some of the information on enrollments. You can edit anything that does not affect the payments that the student has to make. To make sure that franchise report values are correct, anything that required changing the payments must be done through a cancellation or refinancing. See Editing Enrollments.

Sort by First Name

If this option is turned on in the program configuration, students will be sorted by first name throughout the program. They will also be listed as “First Last” in the Student Quick Finder instead of “Last, First”.

Numbering Lessons

In the program configuration, you can set up the number of level II and level III lessons that will be automatically numbered. The automatically assigned numbers will be visible on the lesson sheet in the box for each lesson. If you put an 8 for the number of level III lessons to number, the first 8 level III lessons will have the numbers 1-8 put in their lesson card notes.
