Changing Studio Information and Configuration

From the opening screen of the program, select Setup. You will be taken to the setup page. From there, click on the address that appears in the top left of the topmost box. This will bring you to the configuration screen.

Changing Studio Information

From here you can change the Company Name, Owner/Franchisee, and the address/website for the printed lesson slip. When changing the “Slogan for Printed Lesson Slip”, make sure you do not make your lines too long. If you do, it could run off the edge of the slip, because the [Dymo printer] does not word wrap. If a line is going off the edge of the slip, simply put a line break in manually using the enter key after the last word that prints fully.

Minutes Per Time Slot

This value should not be changed unless you know what you are doing. It determines the length in minutes of each row on the lesson sheet. The default is 15 minutes.

Minutes for Sample Lesson

When a person is enrolled for a level 1 enrollment, this option determines what the default length of their lessons will be.

Sample Lesson Units

When a person is enrolled for a level 1 enrollment, this option determines what the default units that their lessons will use.

Changing Lessons per Printed Slip

This is the maximum number of future lessons that will be printed on a lesson slip. You can change this value to any number you want.

Changing Number of Level II and III Lessons numbered

These two boxes determine the maximum number of level II and level III lessons that will be automatically numbered by Simple Appointments. The number of the lesson will be displayed in the lesson card notes section of the lesson. If you wish to disable lesson numbering for either level, set the corresponding value to 0.

:!: Lessons that are auto-numbered will lose any hand-entered lesson card notes. Do not put lesson card notes on auto-numbered lessons. Use regular notes instead.

Changing Reminder Email Message

This is the message that will be sent out to students who are set up for automatic reminders. You may want to include your policy on cancellations here.

Track Parties and Group Lessons

There are two checkboxes title “Track Parties” and “Track Group Lessons”. If enabled, you will be able to give students a set number of parties and/or group lessons with each enrollment. The number of parties and group lessons each student has will be displayed whenever that student is selected on the lesson sheet. There will also be a countdown of the number of parties and/or group lessons a student has remaining on that student's lesson card.

Calculate YTD and PYTD Figures

These checkboxes turn on the automatic calculation of Year to Date and Previous Year to Date figures on the Summary of Studio Business Report. Year to Date figures require Simple Appointments to have sales data from the beginning of the year onward. Previous year to date figures require sales data from the beginning of the previous year. If your studio has not been using Simple Appointments that long, you must manually enter weekly sales data for the period you were not using Simple Appointments before enabling this feature. Enable 3rd Party Loan Payments

If your studio has students who get financing for enrollments from a 3rd party loan company, check this box to turn on 3rd party loan features. You will then be able to add enrollments with loan fees. This will allow the payments to be marked as paid by the loan company and the student separately. When the loan company pays the studio, the payment goes on the royalty report. However, the payment is still treated as unpaid for purposes of calculating the student's next payment.

Sort By First Name

Choosing this option will cause students to be sorted by first name instead of last name on the Students Page, in the Quick Find, and when Adding a Task.

Changing Language and Locale

If you wish to use a language other than English with Simple Appointments, you should set the Language and Locale. If your desired language or locale does not appear in the list, contact support@simpleappointments.com and they will be added for you. Both of these settings are only a default for new users. They will not change the settings for existing users, and can be overridden for new users in the User Control Panel.

Language

This setting controls in what language the text in the program is displayed. You can create your own translations using the instructions in Translating Simple Appointments.

Locale

This setting controls the formatting of numbers, dates, and monetary values. Some locales, for instance, use a period for a decimal point and a comma for a thousands separator (1,545.50). Others use the opposite (1.545,50). Locale affects both the display and the entry of numbers and dates.

Taxes

If you do not have to pay taxes on your sales, leave this section blank.

Two taxes can be entered, each with a different percent value. There is a check box that allows you to specify whether the second tax is applied to the value before or after the first tax.

These taxes will then be applied on top of all payments that a student makes, unit or miscellaneous.
