Scheduling a Lesson

To schedule new lesson, select a student using the Quick Find box just below the calendar.

The box on the left side of the page now shows the details of the lesson to be added: duration (length) of the lesson, reminder for the student, notes, and lesson card notes.

The duration of the lesson defaults to what is set in the student information or last enrollment, but can be changed to any length of time in increments of time shown on the grid. If the duration of a lesson is changed from the default, the unit charge of the lesson will be adjusted proportionally (the number of units used can be Changed later on).

The student reminder defaults to the time set in the student information, but can be set for an individual lesson anywhere from one minute to one week before the scheduled time.

Click “Notes” to enter any information regarding this particular lesson that might be helpful to staff, such as the purpose of the lesson or a special request. Be sure to click the “Save” button when finished typing the notes. When a lesson has notes entered, there will be a * beside the student's name on the lesson sheet. All notes are displayed in full on the lesson sheet when looking at the one staff-one day lesson sheet view.

Click “Lesson Card Notes” to enter any information that is specific to the billing of the lesson, such as a missed lesson or a charged cancellation. These notes will always be printed on the student's lesson card and will also be displayed in full in parentheses beside the student's name on the lesson sheet. For this reason, be sure to keep the lesson card notes very short; a few characters is best. When a lesson is scheduled for a student in level II, a number 1-4 will automatically be added to the lesson card notes to indicate the student's first through fourth lesson in that level.

When the appropriate details have been set in the left side box, click on the + in the time slot where the lesson should start on the lesson sheet to schedule the lesson. Available times for the student's primary instructor will be highlighted in orange for easy identification. Available time slots will have a + sign in the center of the box and the actual + sign must be clicked to add the lesson. The + sign will be black for time slots at each 45 minute interval, and grey otherwise. Any lessons scheduled for other students will have a gray background in the lesson sheet for easy recognition of lessons already scheduled for this student. When the lesson is added, the empty space will be replaced by the student's name and other related information.

Adding Multiple Lessons

To schedule another lesson with the same details, simply click on another available time slot on the lesson sheet. Changing the details in the left box after adding the lesson will make changes for the next scheduled lesson, but will not change the lesson just scheduled. Scheduling a Lesson for a Different Date

To change the date of the lesson sheet, use the calendar to change to a different day, then add the lesson as you normally would. This can be used to quickly add multiple lessons for one student on different days.

Scheduling a Group Lesson

There are two special options in the student list: (Group) and (N/A). Select (Group) to schedule a group lesson. Select (N/A) to schedule a meeting, event, or unavailability that is not specific to a student. Group and N/A appointments are never included in any lesson counts.

Printing a Lesson Slip

After scheduling lessons for a student, if a Dymo printer is attached to the computer, you can print a lesson slip.

Finishing

When all lessons for the selected student have been scheduled, click “Close New Lesson” in the bottom-left of the page to return to the main lesson sheet view.

Standing/Recurring Lessons

To schedule a standing/recurring lesson:

a. Choose the student from the list as usual

b. On the left side, make changes as desired, e.g. duration or reminder

c. On the left side, click “One-Time”

d. Choose how often the lesson should repeat

e. Click on the grid for the first occurrence of the lesson

f. Lessons will be scheduled for 1 year
