Look Up Student Information

There are a number of places in the program that information about a student can be found. Some of the information is repeated, other information can only be found in one place.

Lesson Sheet

On the main page lesson sheet, whenever a lesson is selected or a new lesson is being added, pieces of information for the selected student are shown on the left side of the page, below the white box with lesson details. These show the current status of the student, regardless of what day or what lesson is being viewed.

Units Remaining

There will always be a link showing the number of units remaining. This is the total number of units enrolled, minus enrollment cancellations and verified lessons taken. If there are 2 or fewer units remaining, this link will be highlighted in red. Clicking this link will jump to the student's payments page.

Upcoming/Overdue Payment

If there is a payment overdue or due in the current week, there will be a “Payment Due” link that shows the due date of the payment. This link will always be highlighted in red. Clicking this link will jump to the student's payments page.

Units Paid/Over Budget

The “Units Paid” link lists the number of units that the student has paid for, but not yet taken. This differs from the “Units Remaining” link in that it does not include units enrolled for but not yet paid off due to a payment plan. For example, if a student enrolled for 100 units at $120 per unit, and has paid $7200 in monthly payments, they will have paid for 60 units. If the student had taken 49 units already, the “Units Paid” link would show “11 Units Paid”.

If the student has 2 or fewer units paid, the link will be highlighted in red. If the student has taken more units than they have paid for, the link will change to “Over Budget” link.

Click this link to view the student's payment page. On the payment page, at the bottom of the enrollment/payment list, the total amount paid and the total amount used by the student is shown. If the student is over budget, the amount used will be highlighted in red.

Contact Phone Numbers

Finally, if one or more contact phone numbers have been entered for the student, they will be displayed at the bottom of the left side of the main page. Click the link to jump to the student information page.

Viewing All Students

To view a list of students, on the program's opening page, click the “Students” link. This will display a list of active students, sorted by last name and including their instructor, level, and phone numbers. If a student is over budget, his or her last name will be highlighted in red. Click a student's last name to open that student's information. At the top of the page are a set of features as described below:

Add a New Student

Click to add a new student to the list for adding a new lesson. However, the prefered method of adding a new student is through the Inquiries page. See Add a New Student for further instructions.

Sort by Level and Balance

This will re-sort the list but order the students not by name, but by their level and the number of lesson they have remaining in their enrollment. This is best used with the following “Show Appointment Information” feature. This feature can be useful to determine students with whom an executive should follow up.

Show Appointment Information

This adds 4 more columns to the list: the total number of lessons the student has taken, the remaining balance of units in their enrollment, the date of their first lesson and the date of their last lesson.

Show Inactive Students

By default, this page only shows students who have “Active – List for New Appointments” checked in their student information. To show inactive, “retired” students, click this link. Inactive students will be shown in a separate list beneath the active students.

Save All Students in a Spreadsheet (.csv)

This will dump all of the student contact information into a comma-separated-values file, which can be opened with a spreadsheet program such as Microsoft Excel and used for mailing lists or other purposes.

Viewing Student Details

When you are viewing the list of all students, you can click on a student's name to view the students details, including contact information, birthdays, default lesson options, and even a photo. See Change Student Information for instructions on changing these details.

You can also access this page by clicking one of the student's phone numbers listed on the lesson sheet as described above.

Information on Lessons

Each lesson on the lesson sheet may have 2 pieces of information other than the student's display name. If the student has a payment due, a red $ will be displayed next to the student's name. If the student is over budget, a black >? will be displayed after their name. Hovering over either of these symbols with the mouse will bring up a tooltip with more information.

The level displayed on the lesson is not necessarily the level of the student. It is the level of the enrollment that the lesson is being taken using, which could be a lower level than that of the student if the student has already purchased another enrollment.

Viewing Student Financial Information
